Generating an App Password

Overview

You will need to generate an App Password if you want to use IMAP (i.e. connecting to your emails through Outlook, Apple Mail, Thunderbird etc).

What is an App Password?

An App Password is a secondary password generated specifically for one software connection. This means that if this App Password is compromised or lost, it doesn't affect your main account.

Why do I need an App Password?

This is an extra level of security that makes sure a 3rd party mail software doesn't have access to your primary password. Instead you give it an "app password" just for connection from that app.

Warning
If you do not follow this step, connecting to Outlook and other external mail apps will not work

Method

  1. Sign into your Parish Online Mail account through your webmail portal, e.g. https://mail.myparishcouncil.gov.uk (yours will be different to this)
  2. Go to the Accounts section. There are two ways to do this:
    1. Click this link https://accounts.zoho.eu/home#security/app_password
    2. In the top right, click on the circular icon or the cog icon, Click Zoho Account, Go to Security > App Passwords,
  3. Click Generate New Password
  4. Give it a name, e.g. "Outlook Desktop"
  5. Copy the password
You can now use this password for connecting your mailbox to Outlook (or other IMAP apps)
