Overview
Version history in Zoho WorkDrive is a built-in feature that automatically tracks and saves every revision made to a file, allowing users to view, compare, and restore previous iterations. It serves as a safety net that eliminates the need to create multiple duplicate files (e.g., "Draft_v1", "Draft_Final") during collaborative work. WorkDrive offers unlimited version history, meaning it tracks changes made through the online Zoho Office Suite (Writer, Sheet, Show) or through Desktop Sync.
Version History
Zoho WorkDrive provides unlimited version history by default across all plans
Every time a file is updated, a new version is saved.
Users can:
- View previous versions
- Restore any earlier version
- Download or save versions separately
This allows recovery from ransomware by restoring a pre-encrypted version
Version Retention Controls
Administrators can customise version retention:
- Keep all versions (unlimited)
- Or limit to a set number (e.g. 10, 25, 50, 100 versions)
If limits are applied:
- Older versions are automatically deleted
- Deleted versions can only be recovered within a retention window
Deleted Version Retention Period
When versions are deleted (manually or via limits):
They can be restored for a limited time:
- Typically 7, 30, 90, or 120 days, depending on configuration
After this period:
- Versions are permanently removed and cannot be recovered
File & Folder Retention (Additional Protection)
Files moved to Trash can be retained based on policy
Permanently deleted files may remain recoverable in admin areas for:
- Up to 90 days (default), configurable between 7–120
