Overview

This tool allows you to export some or all of your asset register layers to a PDF or Excel report.
  1. PDF is the best option if you want to get a professional summary of your assets, along with an embedded map.
  2. Excel is the best option if you want all your assets listed out in an editable spreadsheet without the map information.

Exporting to PDF

To export your asset register to PDF:
  1. Go to 'Tools' in the top menu and select 'Asset Register Export'.
  2. Select 'PDF' from the format drop-down.
  3. Use the Layers drop-down to deselect any layers you don't want to export.
  4. Select any output options you want (described below)
  5. Click 'Export' and wait for the report to generate.
  6. Click 'Download'. This will open your report in a new browser tab.
  7. Use the Print or Save options in your web browser to then Print or save to your computer respectively.
Notes
Note: the PDF generation should take just a few seconds, but for large asset registers this could be a minute or so.

Customisation Options

  1. Include Maps. This will add an overview map of each asset type into the PDF. They will appear before the list of entries.


  1. Include Parish Boundaries. This will add your parish boundary to the map output. (only available when the "Include Maps" option is selected).


  1. Show Map Mask. This will add the map mask to the map output, which fades down the strength of the map outside your parish boundary. (only available when the "Include Maps" option is selected).



Export to Excel Spreadsheet

To export your asset register to Excel Spreadsheet (XLSX):
  1. Go to 'Tools' in the top menu and select 'Asset Register Export'.
  2. Select 'Excel Spreadsheet' from the format drop-down.
  3. Use the Layers drop-down to deselect any layers you don't want to export.
  4. Select any output options you want (described below)
  5. Click 'Export' and wait for the report to generate.
  6. Click 'Download'. This will download to your computer as a zip file.

Customisation Options

  1. Merge Results. If selected, one Excel file will be exported with all layer information stored within spreadsheet tabs (sheets). If unchecked, each layer will be exported as its own spreadsheet.


FAQ

Is this only available as a PDF output?

No, you can also export to Excel Spreadsheet XLSX format.

How do I unzip the file to open the spreadsheet?

This will depend on your own computer, but on a Windows computer you can right-click the file and there'll be an 'Extract All' option.

The output map is too far zoomed out to see individual objects. Can this be changed?

The maps are meant as an overview rather than showing specific detail, so for the time-being the zoom is fixed to your parish boundary.

Can I reimport the spreadsheet after I've edited it?

No, it's not possible to re-import the spreadsheet into Parish Online. If you want to edit the information in a spreadsheet-style view, please use the Table View (Using Table View).
